Module 5: Get first inquiries
Turn customer questions into rentals
Reply clearly, ask the questions that matter, follow up respectfully, and move a customer you can serve into the supported Rivet rental process.
Outcome
Use a repeatable first reply, a list of details to check, and a follow-up that helps a customer reach a clear yes, no, or later decision.
Reply with the next useful step
A quick reply helps only when it is accurate. Thank the customer, restate what they asked for, and explain the information you need before confirming equipment, price, or delivery.
Do not say a rental is approved until the owner has checked availability, service area, property access, hookups, safety, customer requirements, and timing.
- 1Reply to the customer’s question within the time you actually support.
- 2Answer the customer's main question directly.
- 3Ask only for the details needed to decide the next step.
- 4Tell the customer when and how they should expect the next update.
First reply
A clear message you can adapt
Hi [name], thanks for asking about a washer and dryer rental. We serve [real service area]. Before I confirm availability and the full cost, please send the delivery address, whether the hookups are electric or gas, any stairs or access limits, and the date you hope to start. Our usual price and fees are [approved details]. I will review the information and reply by [realistic time].
Check whether you can help before promising a rental
Checking these details protects the customer and the business. Confirm the property can accept the equipment, the route and hookups are safe, the customer understands all costs and responsibilities, and the equipment and delivery plan are actually available.
If the request does not fit, say so plainly and record the reason without collecting more personal information than the decision needs.
- 1Confirm the address is inside the real service area.
- 2Check access, stairs, doors, hookups, venting, and property permission.
- 3Explain prices, fees, due dates, service, swaps, and pickup responsibilities.
- 4Confirm the specific machine and delivery time only after the required checks pass.
Use Rivet for the supported next step
Rivet keeps the customer’s question, customer record, equipment, and rental work together. When Rental Setup automation is enabled for the business, it can send supported setup steps and collect configured customer details, photos, agreement signing, setup-fee payment, and a delivery request.
The owner still reviews exceptions, chooses and prepares equipment, approves the customer, confirms safety and property fit, schedules the real delivery, handles service, and makes final business decisions. Automation does not replace those responsibilities.
- 1Keep the customer’s question attached to the correct business and customer record.
- 2Move a customer you can serve into the supported rental setup process.
- 3Check each collected item instead of assuming the automated step proves approval.
- 4Record the final decision and the owner action that follows.
Follow up once and close the loop
If the customer goes quiet, send one short follow-up that restates the next step and makes it easy to say no. Repeated messages can damage trust and waste time.
Close the request as won, not a fit, later, or no response according to the business process. Keep the reason simple so future website and outreach improvements are based on real patterns.
- 1Wait the amount of time stated in the first reply.
- 2Send one useful reminder with the exact missing next step.
- 3Stop contacting the customer if they decline or ask you to stop.
- 4Record the outcome and improve the message that caused the most confusion.
Follow-up message
One respectful reminder
Hi [name], I am following up on your washer and dryer rental question. To check the next step, I still need [specific detail]. If you are no longer looking, just let me know and I will close the request. No problem either way.
Completion check
Prepare your first reply and follow-up
- The first reply confirms the question and explains the next step without promising approval or availability.
- The business checks service area, property fit, hookups, stairs, timing, price, fees, and equipment before approval.
- The published response time is realistic, and a real person is responsible for replying.
- One respectful follow-up is ready, with a clear way for the customer to decline.
- Rivet automation and owner decisions are described separately and accurately.
Use this in Rivet
Use your business’s inquiry link to manage new requests.
Rivet gives your business a public inquiry link, sharing and QR tools, and an organized place to review and respond to new requests. It does not provide or guarantee customers.
- Confirm the public offer and who will respond.
- Check that your business’s inquiry link and QR code open the right page.
- Submit one clearly labeled test inquiry, then leave it out of customer-acquisition results.
The lesson and tool remain free without an account. New workspaces are free for up to three active rentals with no payment method required. Optional services have separate published scopes and limits.
